Reports to: Director of Nursing Services and/or Administrator

Position Status: Full-time.

Salary: Based on experience. 

Hours of Operation: Monday – Friday 8am to 5pm with some on-call duties.  Must have flexibility of schedule to ensure adequate staffing to meet the needs of current residents.

Job Summary: The Skilled Nursing Staffing & Scheduling Coordinator will coordinate all staffing needs for skilled nursing and will communicate and resolve all scheduling needs as appropriate.

Essential Functions / Duties:

  • Coordinate staffing and scheduling for a 24/7 skilled nursing facility
    • Maintain a schedule of RNs, LPNs, and CNAs/CMAs
    • Replace staffing for call-ins and other scheduling issues
    • Potentially covering openings as needed
  • Document staff absences, leave, vacations and tardies
  • Post schedules in appropriate areas and keep updated continually as schedule changes
  • Work with current staff and agencies to fill schedule with appropriate individuals
  • Communicate staff absences, leave, vacations, and tardies to appropriate Director of Nursing, Administrator, ADON, Infection Preventionist and payroll
  • Document timeclock corrections and report to payroll
  • Assist with onboarding for new skilled nursing staff
  • Ensure daily census and staffing data is posted at each nurses station
  • Ensuring daily census data and staffing data is accurate and keep records in binder
  • Attend all stand-up meetings and report on staffing needs/issues
  • Communicate scheduling updates to staff as needed

Qualifications and Experience:

The successful candidate with have the following experience and qualities:

  • Scheduling/staffing experience in a healthcare environment OR
  • CNA/CMA with scheduling experience OR
  • Licensed Practical Nurse with scheduling experience OR
  • Staffing/scheduling administration experience
  • Highly organized and detail oriented
  • Strong communication skills
  • Experience preferred

  • Ability to understand and recognize potential physical, chemical, and electrical hazards and take immediate corrective action as appropriate.
  • Ability to safeguard the privacy of Residents’ health information.
  • Ability to speak and read English and follow oral and written directions.
  • Ability to establish and maintain effective working relationships with the public, residents, and staff.

Physical and Other Requirements: 

This position is also subject to exposure to infectious diseases, conditions, etc., including the Hepatitis B viruses. Must be free of communicable diseases and be able to pass a pre-employment drug screen.

This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

This position requires the following abilities as essential to for the position:

  • Ability to sit, stand, bend, stoop, stretch, crawl, crouch, kneel, balance, finger, grasp, push, pull, reach, or walk.
  • Ability to lift people/objects from a lower to higher posi­tion or moving people/objects along a horizontal level but from position to position. This includes lifting and carrying weights in the 35-to-50-pound range.
  • Ability to exert force upon an object in order to draw, drag or tug objects toward the source of the force in a sustained motion.
